How we collect, use and protect your personal information.

The Community Arts Council of Richmond ("CACR", "we", "us" or "our") respects your privacy and is committed to protecting the personal information you share with us. This Privacy Policy explains what we collect, how we use it, how we protect it, and the choices you have. We handle personal information in accordance with Canada's Personal Information Protection and Electronic Documents Act (PIPEDA) and British Columbia's Personal Information Protection Act (PIPA).

CACR is a registered charity (registration number 118870112RR0001) based at 12431 No. 2 Road, Richmond, BC V7E 2G3.

Information we collect

We collect information you provide directly to us, such as when you contact us, become a member, register for a program or event, make a donation, or enquire about volunteering or sponsorship. This may include your name, email address, phone number, and any message or profile details you choose to share.

When you visit our website, we also collect limited technical information through analytics cookies, such as your browser, device, and the pages you view. Donations are processed by CanadaHelps; we do not collect or store your payment card details.

How we use your information

We use the information we collect to respond to your enquiries, manage memberships and the member area, run our programs and events, process donations and issue charitable tax receipts, send you updates you have asked to receive, understand how our website is used so we can improve it, and meet our legal and charitable obligations.

SMS opt-in details

The Community Arts Council of Richmond offers SMS/text messaging to improve how we communicate with our community. By providing your mobile phone number and opting in on our contact form, you agree to receive text messages from Community Arts Council of Richmond.

Types of SMS messages

  • Transactional messages: Replies to your enquiries, membership and event registration confirmations, reminders, and other messages related to your request.
  • Marketing messages: News about our programs, events and exhibitions, fundraising and donation appeals, and other promotional updates (only if you opt in).

Message frequency

  • Transactional messages: Frequency varies based on your enquiries and interactions with us.
  • Marketing messages: Up to 4 messages per month.

How to opt out

  • Reply STOP: Text STOP to any message from the Community Arts Council of Richmond.
  • Reply HELP: Text HELP for assistance with our SMS service.
  • Contact us: Email us at info@richmondartscouncil.ca.

After opting out

After you opt out, you will receive one final confirmation message. Opting out of SMS messages will not affect your ability to become a member, take part in our programs and events, donate, or contact us through other channels such as email or in person. You can always opt back in by contacting us.

Message and data rates

Message and data rates may apply based on your mobile carrier's plan. Standard text messaging rates apply as determined by your mobile service provider. We are not responsible for any charges from your mobile carrier.

SMS service provider

We use GoHighLevel and its messaging provider, Twilio, to deliver our text messages. Your mobile phone number and message data may be processed by these providers in accordance with their privacy practices, solely to deliver the messages you requested.

Information sharing

We do not sell, trade, or otherwise transfer your personal information to third parties without your consent, except as described in this policy or as required by law. We share information only with the service providers who help us operate, such as website hosting, our database and member accounts, website analytics, donation processing (CanadaHelps), and our messaging platform, and only so they can provide those services to us.

Mobile information sharing statement

How we use your mobile number

When you provide your mobile phone number to Community Arts Council of Richmond, we use it to:

  • Reply to your enquiries and questions;
  • Send confirmations and reminders about memberships, programs and events;
  • Communicate updates and scheduling changes;
  • Send marketing messages (only if you opt in).

Third-party SMS service providers

We use GoHighLevel and Twilio, third-party SMS service providers, to deliver text messages to your mobile device. When you opt in to receive SMS messages, your mobile phone number and message content may be shared with these providers for the purpose of message delivery. They process this data in accordance with their own privacy policy and terms of service.

No sale of mobile numbers

We do not sell, rent, or lease your mobile phone number to third parties for marketing purposes. No mobile information will be shared with third parties or affiliates for marketing or promotional purposes. Your mobile number is only used for the purposes you consented to, and is not shared with third parties except as necessary to provide the SMS service (for example, our messaging providers) or as required by law.

Mobile data protection

We implement reasonable security measures to protect your mobile phone number and SMS data from unauthorized access, disclosure, or misuse. Your mobile information is stored securely and is only accessible to authorized personnel who need it.

Mobile number retention

We retain your mobile phone number for as long as you remain in contact with us or as long as necessary to provide the services you requested. If you opt out of SMS messages, we keep your number with an opt-out flag so we do not message you again. You can request complete deletion of your mobile number by contacting us at info@richmondartscouncil.ca.

Data security

We implement appropriate security measures to protect your personal information against unauthorized access, alteration, disclosure, or destruction. No method of transmission or storage is completely secure, however, and we cannot guarantee absolute security.

Right to opt out of marketing communications

  • SMS marketing: Reply STOP to any marketing text message.
  • Email marketing: Click the unsubscribe link in any marketing email.
  • All marketing: Contact us directly.

Opting out of marketing communications will not affect transactional or service-related messages.

Right to data portability

You have the right to request that we transfer your personal information to another organization in a structured, commonly used, machine-readable format where technically feasible.

Right to restrict processing

You have the right to ask us to restrict the processing of your personal information in certain circumstances.

How to exercise your rights

You also have the right to complain to the Office of the Privacy Commissioner of Canada or the Office of the Information and Privacy Commissioner for British Columbia.

Children's privacy

Our website is intended for a general audience and is not directed to children. We do not knowingly collect personal information from children without the consent of a parent or guardian. Personal information relating to students in our school programs is handled directly with the participating schools, not through this website.

Our website may link to other websites that we do not control. We are not responsible for the privacy practices or content of those sites, and we encourage you to review their privacy policies.
